FAQ
The questions we get asked first
If yours is not here, ask it on the discovery call — that is what the call is for.
Working together
Working together
- How quickly can you take over our books?
- Most engagements are live within two to three weeks of the proposal being signed. If your books need catch-up work first, we scope that separately and give you a completion date before we start.
- Do we have to change accounting software?
- No. We work inside QuickBooks, Xero, Sage, Zoho Books, FreeAgent, Wave, NetSuite and FreshBooks. If you want to migrate we can run that as a project, but it is never a condition of working with us.
- Who will we actually deal with day to day?
- One dedicated account manager who knows your business. A Chartered Accountant reviews the work before it reaches you, and you can speak to them directly whenever you want to.
- What are your response times?
- Queries are answered within one business day. Urgent items — a payroll cut-off, a filing date, a lender request — are handled the same day.
Scope & pricing
Scope & pricing
- How is pricing structured?
- Fixed monthly pricing against a defined scope, quoted after the free financial health review. You are not billed hourly and nothing outside the proposal is charged without you agreeing to it first.
- Can we start with one service and add others later?
- Yes. Many clients start with bookkeeping and add payroll, tax or back-office support as they grow. The scope is reviewed whenever you want to change it.
- Is there a minimum contract?
- We work on a rolling monthly basis with a 30-day notice period. The relationship should continue because it works, not because of a lock-in.
Compliance
Compliance
- Which jurisdictions do you cover?
- The United Kingdom, the United States and Canada — including US multi-state filings and Canadian provincial variations. If you operate across more than one of these, we handle them together rather than through separate providers.
- Who is responsible if a deadline is missed?
- Deadlines in our scope are tracked by us, and we request documents well ahead of them. If we hold everything we need and a filing in our scope is late, that is on us and we cover the resulting penalty.
- Do you sign off statutory accounts?
- We prepare statutory accounts and tax returns and review them under a Chartered Accountant. Where a statutory audit or a local signing requirement applies, we prepare everything for your auditor or local filer and work alongside them.
Security
Security
- How is our financial data protected?
- Data is encrypted in transit and at rest, held in the cloud platforms you already use, and accessed under least-privilege permissions. Access is logged, reviewed quarterly, and revoked the day someone leaves the engagement.
- Do you sign confidentiality agreements?
- Yes. Every team member is under a confidentiality agreement, and we will sign yours as part of onboarding.
